401(k) operations ROI calculator for TPA teams.
Estimate how many staff hours a year your team could get back if each payroll, contribution or reconciliation batch took fewer minutes to process. You enter the volume, the time per batch today and after an improvement, and your loaded hourly cost.
Illustrative estimates only. Results do not determine eligibility, legal compliance, tax treatment or required corrective action.
Operations ROI estimator
Estimate the annual staff time and labor capacity that could be released if repetitive processing takes less time. Enter your own assumptions; no savings are guaranteed.
Based on the entered volume and time assumptions.
The math behind the result
Annual batches
Batches per month × 12.
Minutes saved per batch
Current minutes per batch minus the estimated minutes after improvement. If the future time is higher, no savings are counted.
Capacity released
Annual batches × minutes saved ÷ 60, shown in hours.
Capacity value
Hours released × the loaded staff cost per hour you enter.
Good uses
- Sizing the business case for automating a specific workflow before a pilot
- Comparing two workflows to decide which one to improve first
- Translating minutes per batch into hours a TPA team can redeploy to client work
What it does not do
- It does not guarantee savings; the result is only as good as your time estimates
- Released capacity is not the same as reduced cost unless the time is redeployed
- Implementation, training and software costs are not included
Frequently asked questions
What counts as a batch?
Use whatever unit your team processes repeatedly: a payroll file, a contribution remittance, a reconciliation run or a set of exceptions for one plan. Keep the unit consistent across the inputs.
What is a loaded staff cost?
It is the hourly cost of a team member including salary, benefits, payroll taxes and overhead. Using a loaded rate gives a more realistic value for the time released.
How should I estimate the future minutes per batch?
Time a few real batches today, then estimate the steps a better workflow would remove, such as manual re-keying or spreadsheet checks. A pilot with agreed acceptance criteria is the way to measure it properly.

Contribution reconciliation check
Compare a payroll source total with the posted contribution total, see the variance in dollars and percent, and flag it against your review threshold.
Census validation tool
Upload a synthetic or de-identified 401(k) census CSV and get an instant exception report. Processing stays in your browser; nothing is sent to a server.
Employer match estimator
Model a two-tier 401(k) employer match, such as 100% of the first 3% plus 50% of the next 2%, and see the match in dollars and as a percent of pay.
