401(k) contribution reconciliation check.

A quick triage tool for contribution processing. Enter the total from the payroll source file, the total actually posted, and the variance your process allows. The result tells you whether the batch is within your threshold or needs review.

CONTROL & RECONCILIATION

Contribution reconciliation check

Compare a source-file total with a posted total. Use the result as a simple triage signal; a non-zero variance requires investigation, not an automatic conclusion.

⇄
Source minus posted$150.00
Variance as % of source total0.12%
Entered review threshold$0.00
Review variance

A variance can have multiple causes; confirm units, timing, file scope, and transaction status.

HOW IT WORKS

The math behind the result

  1. Variance

Source total minus posted total. A positive number means less was posted than the source file shows.

  2. Variance %

The absolute variance divided by the source total.

  3. Status

Within threshold when the absolute variance is at or below the review threshold you enter; otherwise review.

WHEN TO USE IT

Good uses

  • A final check before a payroll batch is approved for posting
  • Spot-checking a remittance against what reached the trust account
  • Training new staff on what a reconciliation control should catch
LIMITS

What it does not do

  • It compares totals only; offsetting errors at participant level can hide inside a matching total
  • It does not explain the cause of a variance, which can come from timing, file scope, units or transaction status
  • A zero threshold is the strictest setting; agree any tolerance with your control owners
QUESTIONS

Frequently asked questions

What causes a contribution variance?

Common causes include a file that covers a different pay period, rejected or pending rows, loan repayments mixed with deferrals, rounding, and transactions that have not settled yet.

Should the threshold ever be above zero?

Some teams allow a small tolerance for rounding. Any tolerance should be documented and approved, and every variance above it should be investigated and resolved with notes.

How does this relate to the ledger?

In a full process, the posted total comes from the recordkeeping ledger, and any variance becomes an exception with an owner and a resolution trail.
