Payroll validation
Payroll files are validated against the plan census and plan rules. Failing files or rows go to an exception queue for human review, and a file can be rejected rather than loaded.
A TPA owner considering new software is right to ask what happens when the software is wrong. A missed limit, a bad payroll file or an unexplained adjustment can turn into an IRS correction, a DOL question or an errors and omissions (E&O) claim. TPA errors and omissions risk mitigation, as KinetiPlan approaches it, means exceptions are caught and routed to people, statutory checks run as fixed rules, and the reasons behind each decision are kept as evidence. This page separates what the pilot build does today from controls that are proposed and still to be confirmed in a pilot.
When a TPA relies on a system to check deferrals, track limits or reconcile a ledger, a fault in that system is still the TPA's problem in front of the sponsor, the IRS or the DOL. The concern is rarely one dramatic failure. It is a quiet override nobody can explain a year later, a limit check that depended on a guess, or a corrected file with no record of who approved it.
When an E&O claim or an audit arrives, the question is usually simple: what happened, who decided, and why. If the answer lives in someone's memory or an email thread, the practice is exposed even when the original decision was sound. Good 401k administration software risk controls are less about preventing every mistake and more about making each exception visible, reviewed and explainable.
Proposed control. The design requirement is that whenever an automated data rule is manually bypassed, the platform records and keeps the identity of the user, the time and a required business reason. That record should be retrievable later for an audit or an E&O review. This is a requirement to be confirmed in a pilot. It is not a shipped feature today.
What the pilot build already does points in the same direction:
Payroll files are validated against the plan census and plan rules. Failing files or rows go to an exception queue for human review, and a file can be rejected rather than loaded.
A ledger discrepancy cannot simply disappear. A reviewer documents the corrective action in resolution notes, then explicitly approves the resolution, marking it resolved, or dismisses it, returning it to reconciled.
The ledger is labelled "Audit-Traceable Ledger Activity" and exports to CSV. Sponsor notes record their author and date.
See how exceptions move from detection to resolution in the 401(k) exception tracking guide.
The checks that carry the most liability should behave the same way every time for the same inputs. In KinetiPlan, statutory limit checks run as fixed, code-based rules, not probabilistic models.
The pilot testing suite includes the 402(g) excess deferral check, the 415(c) annual additions check with a $72,000 default cap, ADP/ACP, 410(b) and top-heavy. Results are flagged as action required for review by qualified staff. It is not a certified testing engine. Try the logic with the 415(c) annual additions limit checker.
Ask Kineti AI is planned for a later phase, and the preview panel calls no AI service today. The design intent is that AI would help staff find their way through documentation and would be advisory only. It would not change data, calculations or limits.
KinetiPlan does not move money. The pilot build records payments, such as marking an invoice paid, and records ledger transactions, but it processes no payments or transfers. That removes one risk outright: there is no money-movement path in the platform to fail.
Proposed control. Versioning of rule changes, with review before a changed rule takes effect, is a control to be scoped in a pilot so a practice can show which rule applied on a given date.
Rules catch problems. People decide what to do about them. These controls support that review, and the table shows which exist today.
| Control | Pilot build today | Status |
|---|---|---|
| Exception queue for payroll | Failing files or rows held for review; files can be rejected. | In the pilot build. |
| Discrepancy resolution notes | Corrective action documented, then approved or dismissed. | In the pilot build. |
| Peer review | The annual administration checklist includes a "Peer review of compliance results" task with an assignee, due date and status. | In the pilot build. |
| CSV evidence exports | Ledger activity, reports and the census export to CSV for audit files. | In the pilot build. |
| Role separation | Separating who prepares from who approves, by role. | Proposed, to be confirmed in a pilot. |
| Override log with reason | User, time and required business reason kept for every bypassed rule. | Proposed, to be confirmed in a pilot. |
Evidence matters at filing time too. See how inputs stay together on the Form 5500 data aggregation page.
KinetiPlan is a pilot build running on synthetic demo data. It is not generally available and holds no certifications. The override log, role separation and rule change versioning described here are proposed requirements to be confirmed during a pilot. The testing suite is not a certified testing engine, AI assistance is planned for a later phase, and the platform moves no money. Results should be reviewed by qualified staff.
That is a proposed control to be confirmed in a pilot: recording the user, the time and a required business reason whenever an automated rule is bypassed. Today the pilot build routes failing payroll files or rows to an exception queue and requires resolution notes and an explicit approve or dismiss step for ledger discrepancies.
No. Checks such as 402(g) and 415(c) run as fixed, code-based rules, and results are flagged for review by qualified staff. AI assistance is planned for a later phase, would be advisory only and would not change data, calculations or limits.
No. KinetiPlan does not move money. The pilot build records payments and ledger transactions but processes no payments or transfers.
No. KinetiPlan does not assume fiduciary responsibility, does not provide insurance and cannot promise that penalties will be avoided. E&O coverage terms are between the TPA and its insurer.
Ledger activity, reports and the census export to CSV, sponsor notes record author and date, and discrepancy resolutions keep their notes. The annual administration checklist also includes a peer review of compliance results task.
This page describes software capabilities and proposed controls and is not legal, tax, insurance or ERISA advice.
