FOR 5500 PREPARERS AND COMPLIANCE TEAMS

Automated Form 5500 data aggregation without re-keying

Preparing a Form 5500 means gathering plan facts, participant counts, asset figures, contribution activity and testing results from wherever they happen to live. Automated Form 5500 data aggregation, as KinetiPlan uses the term, means the inputs already held in the platform stay together on one plan record, so your preparer does not have to re-key them. From that record, KinetiPlan generates the Form 5500 and its schedules and transmits the filing directly to EFAST2 once your team and the plan sponsor have approved and signed it. It also tracks 5500 readiness across your book.

THE PROBLEM

The 5500 is assembled from everywhere.

The Form 5500 sits near the end of the plan year, which means it depends on almost everything that came before it. A preparer needs the plan's identifying details, participant counts at the start and end of the year, asset and contribution figures, and confirmation that testing and contribution calculations are complete. In many practices those inputs are spread across a census spreadsheet, a recordkeeper download, a testing file and someone's notes.

Each of those sources has to be found, checked and typed into the preparation software. When a census is updated after testing, or a contribution figure changes after review, the preparer may not hear about it. Re-keying is slow, and every copied number is a chance for a mismatch that surfaces later as an amended filing or an awkward question from a sponsor.

Across a full book of business, there is a second problem: knowing which plans are ready for 5500 work at all. Without a shared view, filing season turns into a list of follow-up emails as the mid-October extended deadline approaches.

WHAT THE PILOT BUILD KEEPS TOGETHER

Automated Form 5500 data aggregation on one plan record

These inputs are held in the KinetiPlan pilot build today, on synthetic demo data. Because they share one record, a change in one place is visible everywhere the plan appears.

01

Plan record

Each plan shows its participants, projects, ledger activity and deadlines in one place, including plan assets and active and terminated participant counts. Plan details such as plan type, plan number, plan year end and recordkeeper sit on the same record.

02

Participant census

The participant list holds status and census fields for every participant, and a census exports to CSV from the list when your preparer or an auditor needs it.

03

Ledger activity

Contribution and transaction activity sits in the ledger, filterable by plan and date, with its discrepancy queue. Items that do not agree are resolved with notes before figures are relied on.

04

Testing results

The compliance testing summary shows ADP/ACP, 410(b), top-heavy, 402(g) and 415(c) results by plan, with action-required items. Results are for review by qualified staff; it is not a certified testing engine.

05

Annual administration tasks

Each plan year's 10-task checklist includes "Prepare Form 5500 and schedules" and "File Form 5500 via EFAST2", each with an assignee, a due date and a status, so 5500 work is tracked alongside the steps it depends on.

06

Reports for context

The Book of Business report lists each plan with sponsor, consultant, recordkeeper, participant counts and assets, and exports to CSV. The Participant Demographics report adds detail by plan.

5500 READINESS TRACKING

See which plans are ready before filing season.

A readiness share for the year

The compliance dashboard has a Form 5500 Readiness tile showing the share of the current year's annual administration projects with the 5500 prepared. It is a quick read on how far through filing work the practice is.

Upstream tasks in view

Because 5500 preparation sits in the same checklist as census scrubbing, testing and contribution calculations, a plan that is not ready shows why: which earlier task is open, in progress or blocked, and who owns it.

Deadlines on the calendar

The compliance calendar lists filing deadlines with the rest of each plan's regulatory dates, with overdue, due-in-30 and due-in-90 counts and an .ics feed. See the compliance deadline calendar guide.

Workload behind the filings

The Staff Workload report shows open and overdue tasks per person, so a preparer with a long 5500 queue is visible before the work backs up. See how this fits the season on the compliance season backlog page.

SCOPE

What KinetiPlan does for the 5500, and where people stay in charge

Being clear about scope matters here. The table shows what KinetiPlan handles and where human review, approval and signature remain.

HOW A PREPARER COULD WORK

A flow from plan record to filing.

  • Confirm the annual administration project shows census, testing and contribution tasks as Completed.
  • Open the plan record to review participant counts, assets and ledger activity, and check the discrepancy queue is clear for the year.
  • Generate the Form 5500 and its schedules from the plan record, resolve any validation anomalies, and mark the preparation task complete so the readiness tile updates.
  • After peer review approval, route the filing to the sponsor for signature, transmit it directly to EFAST2 and close the filing task on the project.

Payroll accuracy upstream helps the figures downstream. Read about automating 401(k) payroll validation and reconciling pooled trust ledgers.

WHERE THE PRODUCT STANDS

Inputs together, filing from the same record.

KinetiPlan is a pilot build running on synthetic demo data. It is not generally available and holds no certifications. KinetiPlan generates Form 5500 and its schedules and transmits filings directly to EFAST2 under explicit human approval gates; see direct EFAST2 filing. It has no live custodian or recordkeeper feeds. Figures used in any filing should be reviewed by qualified staff. AI assistance is planned for a later phase and the preview does not call any AI service.

REGULATORY TASK

Form 5500 e-filing automation, from data to EFAST2

Many TPAs search for Form 5500 e-filing automation when the real cost sits in the weeks before filing: chasing inputs, confirming participant counts and assets, and knowing which plans are ready. KinetiPlan takes on that work and the filing itself, with people approving each step.

  • Tracking: each plan year's annual administration project carries "Prepare Form 5500 and schedules" and "File Form 5500 via EFAST2" as assigned, dated tasks. The compliance calendar shows the Form 5500 / 8955-SSA due date for every plan, and the compliance dashboard shows a Form 5500 readiness rate.
  • Generation: KinetiPlan generates the core Form 5500 and required schedules, such as Schedule A, SB or H, from the plan record, and tracks validation anomalies until they are resolved.
  • Approval and transmission: after preparer review and peer approval, the filing is routed to the plan administrator or sponsor, who signs with their own EFAST2 credentials, and KinetiPlan transmits it directly to EFAST2. Nothing is transmitted without approval. Read the full flow on the direct EFAST2 filing page.
FAQ

Questions about Form 5500 data in KinetiPlan

Does KinetiPlan generate Form 5500 or its schedules?

Yes. KinetiPlan generates the core Form 5500 and the schedules the plan requires, such as Schedule A, SB or H, from the plan record. The preparer reviews every form and schedule, and validation anomalies are tracked until resolved.

Does KinetiPlan file with EFAST2?

Yes. After preparer review and peer approval, the filing is routed to the plan administrator or sponsor, who signs with their own EFAST2 credentials, and KinetiPlan transmits it directly to EFAST2. Nothing is transmitted without approval.

What does automated mean on this page?

It means data already in KinetiPlan, such as the plan record, participant counts, assets, ledger activity and testing results, does not need to be re-keyed, and the form and schedules are generated from it. Filings still pass preparer review, peer approval and sponsor signature.

Does KinetiPlan pull data from custodians or recordkeepers?

Not today. There are no live custodian or recordkeeper feeds in the pilot build. Data is entered or uploaded, and payroll arrives as CSV files.

How does 5500 readiness tracking work?

The compliance dashboard has a Form 5500 Readiness tile showing the share of the current year's annual administration projects with the 5500 prepared. Each project's checklist shows which earlier tasks are still open.
